National system
Medicines and medical supplies, visible from the national warehouse to the facility shelf.
The Moana Medical Supply System tracks stock, requisitions, distribution, consumption and expiry across facility, district and national levels, and reconciles issues and receipts with finance systems. It is configured to each client’s supply chain, item master and approval structure.
Stockouts are rarely a lack of stock in the country. They are stock in the wrong place, at the wrong time, without anyone being able to see it.
For national warehouses, supply officers, hospitals and health centres.

What the ministry sees
One view of what is held, what is needed and what has been used.
Supply officers, programme managers and finance teams see every level of the health system. The Medical Supply System connects to the Moana Pharmacy Management System, so dispensing at a facility draws down the same stock the district and national levels can see.
The facility view is the Pharmacy Management System stock inventory: what is on the shelf, as dispensed. The same stock rolls up to district stores and national warehouses.
What it does
Stock at every level of the system, and more.
Stock at every level
Stock on hand at facilities, district stores and national warehouses, in one view.
Requisitions and approvals
Facilities request stock, and approvals move up the levels with quantities checked against use.
Distribution and delivery
Shipments tracked from dispatch to receipt, with discrepancies recorded at the door.
Expiry and wastage
Batches close to expiry are visible early, so stock can be moved before it is lost.
Indicators and reporting
Monitoring and evaluation indicators reported from live stock and consumption data.
Finance reconciliation
Issues and receipts reconcile with the client’s finance system.
National item master
One national list of items, with tracer items monitored for stockouts across every facility.
Forecasting and planning
Supply planning based on consumption, so orders match what facilities actually use.
Simple reporting for remote sites
Health centres report stock with a simple form or an offline mobile app, and data flows to DHIS2.

Overview
Stock visible from the warehouse to the facility.
Stockouts of essential medicines are rarely caused by a lack of stock in the country. They are caused by stock in the wrong place, at the wrong time, without anyone being able to see it. The Moana Medical Supply System gives supply officers, programme managers and finance teams one view of what is held, what is needed and what has been used at every level of the health system.
A national item master defines every product, with tracer items monitored for stockouts across all facilities. Facilities requisition against actual consumption, approvals move up the hierarchy, and shipments are tracked from dispatch to receipt with discrepancies recorded at the door. Batches approaching expiry are visible early so stock can be redistributed before it is lost.
Health centres report stock through a simple form or an offline mobile application. Supply planning uses consumption to forecast need, indicators are reported from live data, aggregate stock reports flow to DHIS2, and issues and receipts reconcile with the client’s finance system.
Data flow
Facility, district, national.
National warehouses, district stores and facilities sit in one hierarchy, configured to each client.
- FacilityReport and requisitionHealth centres report stock through a simple form or an offline mobile application, and requisition against actual consumption.
- District and provinceApprove and deliverApprovals move up the hierarchy, and shipments are tracked from dispatch to receipt with discrepancies recorded at the door.

Outcomes
What changes for your organisation.

Tracer items and stock levels are visible across the network before shelves run empty.
Less wastage
Near expiry stock is identified and moved in time.
Requisitions grounded in use
Orders reflect consumption rather than estimates.
Financial accountability
Issues and receipts reconcile with the finance system.
Standards and reporting
Coded and exchanged in open formats.
Aggregate stock reports flow to DHIS2, monitoring and evaluation indicators are reported from live data, and issues and receipts reconcile with the client’s finance system.

Deployment and governance
Configured to your supply chain.
Built to be configured
Supply chains differ in their levels, approval rules and reporting. The system is configured to each client’s supply chain, item master and approval structure, rather than asking them to change how they work.
One national hierarchy
National warehouses, district stores and facilities in one hierarchy, configured to each client.
The ministry owns its data
The government that collects the data owns it. Hosting is agreed with each client.
Remote sites included
Health centres without a reliable connection report stock through a simple form or an offline mobile application.
